Content Management and document management

DocumentDB is a Content Management System to collect, create, maintain and manage documents. It is important to manage documents efficiently, for example technical publications, manuals and training documents. DocumentDB is based on XML where lay-out and content are separated. Some features are:




Input of elements and documents

DocumentDB is XML based and offers an userfriendly on-line XML editor. Several people can work on-line simultaneoulsy on the same documents. XML expertise is not required to write texts and maintain the documents. Documents are created and adjusted on-line as well as off-line. Different off-line XML-editors are used, some examples are Adobe FrameMaker, Adobe InDesign, MS Office 2003, XML-Spy.

Assemble publications and automatic bookproduction

It is possible to produce books with several elements. The content of these elements and the meta data are easy to maintain and are stored in the Data Warehouse.

Re-using content

The reuse of elements can be realized in a userfriendly way, by selecting the elements in a tree structure and assembling books and publications. Documents and elements can be used in different publications, without duplicating data. Elements that are used several times, remain consistent.

  • Manuals and technical documentation

Personalization

Different users can execute different tasks, and have access to different functionalities of the system:

  • Manage the Content Management System
  • Write and maintain the texts
  • Proofreading and correcting documents
  • Publish books and prepare for print

Data is stored to make documents available for specified groups of users. To properly arrange security the following items are entered in the database:

  • Authorization groups, several groups of users with their own access rights
  • User profiles (username, e-mail address, etc.). Users are entered into one or more authorization groups

Workflow module

An optional module to manage workflows is available. Documents can be transferred between different users for e.g. editing, proofreading, correction and publish purposes.

Output in PDF

The software can automatically produce PDF with templates that contain formatting information. Different formatting software and print engines can be used:

  • Adobe InDesign server
  • Adobe FrameMaker server
  • XSL-FO
